How We Built the First Compliance App for Insurance Intermediaries

In 2012, insurance intermediaries had to evidence that their advice was suitable, but most recorded client meetings with handwritten notes or none at all. With a small development team and insurer sponsorship, we launched Our Meeting Recorder, the first mobile app built for intermediaries to capture compliant meeting records using timestamped audio, key facts forms and GPS tagging. It launched to widespread interest and praise. Real innovation starts with the user, not the rulebook.

The Context

In 2012, the insurance sector was evolving rapidly under increasing regulatory scrutiny. Firms were expected to evidence conversations, advice, and decision-making with customers, but few had practical tools to do so. “If it’s not written down, then it didn’t happen.”

Most relied on handwritten notes or no notes at all to record client meetings. The process was slow, error-prone, and exposed advisers and firms to risk if challenged by the regulator.

At the time, mobile technology was just beginning to influence the workplace. Few compliance consultancies were exploring it, but I saw a clear opportunity.


The Challenge

The FCA (then FSA) required intermediaries to demonstrate that advice given was suitable, clear, and well-documented.
Brokers and advisers often took notes during or after meetings, but this information was scattered and unstructured.

We needed a way to help firms capture and evidence client interactions in real time, a digital solution that could support compliance and improve efficiency.

No such product existed in the insurance space, and few believed a mobile phone could be a credible compliance tool.


The Insight

The gap wasn’t in knowledge, it was in evidence.

Advisers knew what “good” looked like, but proving it required documentation, and most lacked the tools or discipline to do it consistently.

What if compliance didn’t rely on paper trails and post-meeting admin? What if the phone in a broker’s pocket could become their best defence against risk, and their simplest compliance tool?

That question became the spark for the sector’s first mobile compliance app.


The Solution

Working with a small development team, we designed and launched Our Meeting Recorder, the first mobile app built specifically to help insurance intermediaries capture compliant records of their client meetings.

Key features and design principles:

  • Audio capture: Secure timestamped recording of client meetings and advice sessions, allowing the broker to leave voice recording notes.
  • Simple form capture: The broker would complete a form to make sure they discussed all the relevant key facts in the meeting, keeping them compliant.
  • GPS tagging: Onsite meetings would generate a GPS record stamp to evidence the location should it be needed in the future.
  • Simplicity: Designed for ease of use, no training needed. It worked on both Apple and Android devices.
  • Affordability: Accessible for individuals from firms of all sizes, from independents to networks.

We also secured insurer sponsorship to fund development, proof that major players believed in the idea and its value for the industry.

The project was a collaboration between technology, compliance, and commercial thinking, a balance that became my signature approach in later years.


The Outcome

The app launched to widespread interest and praise across the market. It gave advisers a practical, everyday tool to strengthen their governance and protect both customers and themselves.

It became a tangible example of how digital innovation could support, not replace, good advice.

By proving that technology could make compliance simpler, not scarier, we opened the door to a wave of digital adoption across learning, governance, and oversight tools in the years that followed.

For me personally, it was one of the first times I saw how creative problem-solving in compliance could directly change behaviour in the field.


The Reflection / Value

This project taught me that real innovation starts when you focus on the user, not the rulebook.

Compliance doesn’t have to slow people down. When designed well, it builds confidence, giving professionals the freedom to focus on what really matters: their clients.

Innovation doesn’t come from adding more rules — it comes from making it easier to do the right thing.
